2. What this policy covers

This policy applies to personal information we process when you visit thinking4success.co.za, contact us, request a consultation, become a client, or enrol in one of our courses.

It does not cover the websites we build or host for clients. Where we host or maintain a client’s website, the client is the responsible party for information collected on that site and we act as their operator, processing it only on their instructions. Please read the privacy policy of the website concerned.

3. Personal information we collect

When you contact us or request a consultation

  • Your name, email address and phone / WhatsApp number
  • The service you are interested in, your preferred time for a call, and anything you tell us about your project
  • Your consent to be contacted about your enquiry
  • Messages you send us by email, phone or WhatsApp

When you become a client

  • Contact and billing details (business name, address, VAT number where applicable)
  • Content you supply for your project (text, images, product information)
  • Access details for your domain, hosting or other platforms, where needed to do the work. We store these securely and only use them for your project.
  • Records of quotes, invoices and payments. We do not store card details. Payments are made by EFT or through the third-party payment provider used for the transaction.

When you enrol in a course

  • Your account details (name, email, password stored in encrypted form) and your course progress, so that we can give you access and track completion

When you browse this website

  • Technical information recorded in our web server’s logs, such as your IP address, browser type, the pages you visit and the time of your visit. This is used for security and to keep the site running properly.
  • Essential cookies needed for the website to work, and analytics cookies that show us how visitors use the site (see section 9).

We do not knowingly collect special personal information (such as health, religious beliefs, race or biometric information) and we ask you not to send it to us unless it is needed for your project.

4. Why we use it, and our lawful basis

  • To respond to your enquiry and arrange your consultation, with your consent and at your request.
  • To deliver your project and services (design, development, hosting, email, maintenance, social media management, training), because this is necessary to perform our agreement with you.
  • To invoice you and keep financial records, because the law requires it.
  • To keep our website and systems secure and improve our services, based on our legitimate interest in running a safe, reliable business.
  • To understand how our website is used so we can improve its content, based on our legitimate interest in running a useful website.
  • To send you news or offers, only if you have agreed to this, or if you are an existing client and the message relates to similar services. Every marketing message includes a way to opt out, as required by section 69 of POPIA.

5. Who we share it with

We do not sell, rent or trade your personal information. We share it only with service providers (operators) who help us run our business, and only as far as needed:

  • Our web hosting and email hosting providers
  • Domain name registrars and registries, which require registrant details for domain registrations
  • Accounting, invoicing and payment providers
  • Communication platforms you choose to use with us, such as WhatsApp
  • Trusted contractors who help us on a project, bound by confidentiality
  • Google Fonts, which supplies the typefaces used on this website (your browser connects to Google to load them)
  • Google Analytics and Google Search Console, which show us how visitors find and use this website

We may also disclose information where the law requires it, or to protect our rights, our clients or the public.

6. Information sent outside South Africa

Some of the providers listed above store or process information on servers outside South Africa. When this happens, we make sure it is protected to a standard comparable to POPIA, as required by section 72. This is done through the provider’s data protection terms, the laws of the country concerned, or your consent.

7. How long we keep it

  • Enquiries that don’t become projects: deleted within 12 months of our last contact, unless you ask us to keep in touch.
  • Client and financial records: kept for as long as tax and company law requires, generally five to seven years.
  • Course accounts: kept while your account is active, and deleted on request.

8. How we protect it

We use reasonable technical and organisational measures to keep personal information safe. These include encrypted (HTTPS) connections, security software and firewalls on the websites we manage, strong passwords and two-factor authentication where available, and access limited to people who need it. If we believe your personal information has been accessed without authorisation, we will notify you and the Information Regulator as required by section 22 of POPIA.

9. Cookies

This website uses two kinds of cookies:

  • Essential cookies, needed for the site and its forms to work.
  • Analytics cookies from Google Analytics, which tell us how visitors use the site: for example, which pages are read and how people found us. We use this information in summary form to improve the website. We do not use it to identify you or for advertising. Google processes it on our behalf, including on servers outside South Africa (see section 6).

You can block or delete cookies in your browser settings, or opt out of Google Analytics on all websites with Google’s opt-out browser add-on. If you block essential cookies, parts of the site may not work properly.

10. Your rights

Under POPIA you have the right to:

  • Ask whether we hold personal information about you, and request a copy of it
  • Ask us to correct or delete information that is inaccurate, out of date, excessive or unlawfully held
  • Object to our processing of your information, and withdraw your consent at any time
  • Opt out of direct marketing
  • Lodge a complaint with the Information Regulator

To exercise any of these rights, email our Information Officer at manesh@4success.co.za. We may ask you to confirm your identity first. Requests for access to records may also be made under the Promotion of Access to Information Act 2 of 2000 (PAIA). See our PAIA Manual for how to make a request.
